Thirty minutes to walk through the current workflow, the systems involved, and where the edges of the project are.

A written proposal

Fixed scope, deliverables, timeline and price. Retainers and advisory hours are quoted the same way.

Worth Including

The workflow as it runs today, including the manual steps
Which systems the work has to reach — and whether they have APIs
Any constraint that rules approaches in or out: data residency, self-hosting, an existing stack
Who signs off, and what they need to see to say yes
A budget range, even a rough one — it changes what gets proposed
